Features
How can I create a new action?
To add a new action to your project, just click the Actions tab followed by clicking the “Create” icon, displayed as a plus symbol. Once clicked, you can add the action name, the owner, a status, priority, date and time due as well as a short description. Within the description, you can add rich text editing options such as font styling and the ability to add a bullet or number list.
How can I move an action to another folder or project?
Editors of a folder can change or modify an existing action. Permissions are set when editing a folder or within the Contacts application.
How can I move an action to another folder or project?
This can be done by highlighting the action you want to move, click the "Move" button and select the new folder location.
How can inform others when a new action has been added?
When you add a new action, you can let others know about it, such as the owner, by sending them a quick email notification. This is done by simply highlighting the action and clicking the "Email" button.
How does the feature "Take" work?
This can helpful for when organizing an event or project with volunteers. You can create a new folder for the event or project, add all the tasks or actions needed, send an email notification to others, and if they see any actions appropriate for them, they can just highlight the action, click "Take", and the action will be assigned to them.
Can I copy an action?
Yes, this can be especially helpful for setting multiple projects or larger events where many of your actions will be the same from one activity to the next.
How can I change the order in a slideshow?
The order of the slideshow is set by whatever order the current list of actions is in. You can change this order by either adding different filters (All Actions, My Actions, Unassigned, Pending, or Completed), sorting by any of the column headers (such as Priority or Due Date) or combination of both.
Who can delete an action?
Any Editors of a folder can both edit as well as delete an action. Users can be added to a folder as either an Editor or Reader, readers can only view an action or add comments.
Filters and Sorting
How can I view only the actions that are assigned to me?
You can do this for any folder that your viewing, or the All folder, by clicking the filter "My Actions". From this you can additionally sort by by priority, status or the due date. Click "Edit" to change the status, priority or add a comment.
How do I sort the actions for a different view?
By default, the initial list of actions that you see are sorted alphabetically by their name, or ascending. You can change this to sort ascending or descending by any of the other variables displayed, such as the priority, status, due date, updated date, owner and created date.
How can I view actions from across my entire network?
By clicking the All folder and the Actions tab, you can see the actions from any folder that you’ve created or that’s been shared with you. This can be helpful to see a bigger picture of the activities with your projects, where you can additional filters and sorting options to view as needed. You can view the action details by clicking on the name of the action, or go to the action in its’ respective folder by clicking on the folder icon, right next to the action name.
Can I view only the actions that aren’t owned by anyone?
Yes, there is a filter called “Unassigned” that once clicked, will only show the actions that don’t have an owner. If you see then see an action that you’d like to take ownership of, you can click the “Take” button and the action will now be assigned to you.
Can I view only the actions that are pending?
To view the actions that are held up for one reason or another, just click the filter called “Pending”. From this you can view the details of each action by either clicking on its’ name, or if there are a number of pending actions, can view in slideshow mode. This allows you to see both the action details as well as any comments or feedback added from others. Click “Edit” to change the status from Pending to something else, such as In Progress, Assigned or Completed.
Can I view the actions that are already done?
Yes, this can be done by clicking the filter labeled “Completed”. This can be helpful to review projects as they’re being completed. You can additionally sort by owner or the last updated date to see actions as they were completed. View in slideshow mode to see the details of each project as well as any comments available. Click “Edit” to change the status, such as back to “In Progress” if not done yet or to “Verified” if the solution is confirmed.
How can I view actions from sub-folders?
If you have a bigger project with actions in various sub-folders, you can see them integrated it their parent folder by changing the filter called “Content” from “Only this Folder” to “Include Sub-Folders”. From this you can add other filters such as My Actions to only view actions assigned to you, as well as Unassigned, Pending and Completed.
