Group Solutions FAQs

Frequently asked questions for using with a group solution.

Overview

What is the most popular application for groups?

Groups can take advantage of the events application for scheduling meetings, monthly get togethers, annual celebrations, workshops and other social planning activities.

What types of users should be added to my network?

For most groups, you’ll be adding other people helping out, or co-managers, as Advanced users so they can independently start new activities as well as adding other users to those activities. The rest of the group or members can be added as Basic users, able to view and work with content only from folder that have been shared with them. Additionally when adding users to folders, you can add them as an Editor or a Reader, an Editor can view, create and edit content in the applications, while a Reader can only view content and use communication options, such as sending an email notification or adding a comment.

Who pays for billing with a group network?

The administrator of the network is responsible for initially setting up the network, adding other users and any billing needed, such as for an upgraded plan or extra storage and users. This gives the administrator complete control over their network, at least for the overall set up and organization, leaving the activities and actual content for others to work with.

Who can I talk to if myself or a member of my network needs support?

If you or anyone in your network needs help using a feature or has any other question, besides browsing through the Odysen website, blog, and these FAQs, can also ask us their question in the Help Desk. This is available anytime once logged into your network, the link labeled “Help Desk” on the top right corner of any page. Use the Help Desk to ask new questions as well as access past ones for reference, users will receive an email notification anytime a Help Desk ticket has been updated.

To organize and plan an event or workshop, you can simply create a new folder for the event, add the date or dates to events, appropriate actions with owners and due dates, documents for sharing promotional material, notes for capturing meeting notes or brainstorming ideas, as well as news and websites for keeping informed of other activities related to your event.

How can I use a network for volunteers?

To help keep volunteers of your group or organization informed and updated, you can add them as Basic users, which are unlimited with any of the available plans. This allows you to create folders as appropriate, add volunteers to the folder, and they'll be able to have access to any of application content that you add. How can I use a network to share reference information?

If your group has been around for a while, you may want to create a special folder to use as reference for any new members or users. Within that folder you can create different sub-folders as needed for your different types of content. This could be photos or word files in documents as well as other websites, blogs and news RSS feeds related to your group. Inform current members of new content added with an email notification, they can add comments for any feedback or additional questions.

Should I create a separate network for different groups?

Yes. As different groups will have a range of different interests, activities, projects and users, having a separate network is the easiest way keep things in the proper places. You can quickly change to a different network by clicking the Switch Network link on the top of any of your pages.
